The site|folio philosophy.
Stringent workflow always sounds promising. But employees don’t need babysitters, they need tools. Too often a company gets caught up in designing precise workflow that is not general enough to either support its portfolio of projects or reflect its business needs as they change. Strict, silo’d workflow causes headaches because it quickly loses its relevancy.
Portfolio management requires managing projects through common, key characteristics – even though the projects might be dissimilar in nature. site|folio provides an alternative: Create common threads through and boundaries around seemingly dissimilar processes, which act as guides and checkpoints, while still providing managers and individuals the freedom to execute their specific projects.
The site|folio toolkit.
Our “toolkit” for setting up workflows uses a system of guides and checkpoints that’s neither burdensome nor overbearing. It includes:
- A centralized, secure place for everyone to store their data, documents, drawings, etcetera – within a file/folder structure designed by management.
- Templates through which to standardize:
- Attribute and data requirements across your portfolio of locations and projects.
- Architectural and store design prototypes, and their revisions.
- Security structures, such that permissions on any project are automatically assigned for all roles.
- Schedules, such that a pre-defined set of tasks, milestones, durations and calculated dates are automatically applied to any new project.
- Real time reporting on the status of all milestones in your site|folio master schedule and all critical project administration correspondence – allowing you to monitor progress and check for approvals, completions and outstanding issues at a glance.
- Automatic email notifications to pre-defined lists of users when a document is uploaded, downloaded, edited, or changes status.
- Access control for every site|folio user, such that only relevant folders and intelligence are accessible or editable under specific conditions.
Combined, these features allow you to assert varying degrees of control over how your employees and external consultants interact and collaborate.
When there’s no wiggle-room.
site|folio recognizes and appreciates that certain processes are strictly controlled by necessity. In those cases, we provide forms (based on industry standards and best practices, but easily adapted to your business requirements) that capture and control interactions with, and mandates to, external consultants. RFIs are a perfect example of this type of form-based workflow.
